Migration
Start on the system you run today. Move billing last.
Bavardio starts on top of the billing system you already run, so your team works on real data early. Move more over when you are ready. Billing goes last: both systems run side by side until the invoices match, and you approve the switch.
Choose the right scope
Start with a workflow or plan a broader move.
Some teams want one module first. Others are ready to consolidate. Either way, we agree the starting point and what each system does while the move is underway.
Introduce a module
Add one module, connected to the systems you keep.
Move a defined workflow
Move one process and the data it depends on.
Plan platform consolidation
Agree the order in which customer, billing and operations work comes into Bavardio.
A clear sequence
Five stages, each checked before the next.
- 01Scope the operation
List the systems, records, users and workflows that are moving. Agree what done looks like and who signs off on each decision.
- 02Map the information
Go through the source records and decide where each one lands in Bavardio. Check the relationships, the required fields, how much history comes over and which records need special handling.
- 03Validate representative workflows
Run the jobs your team does every day on real accounts. For billing, check a sample of invoices against the agreed rules.
- 04Review exceptions and readiness
Chase down every difference and write down what was decided. Train the users, and settle which system owns each workflow while both are running.
- 05Approve and carry out the cutover
Move what was agreed, when the plan says. Watch the first live activity closely, with the escalation and recovery path already written down.
Billing transitions
Both systems run until the invoices match.
Compare a sample of invoices from both systems. Sort each difference into a mapping problem, a calculation difference or an intentional change, so the team knows what still needs fixing.
- Are the correct services and billing periods represented?
- Do proration, adjustments and configured taxes come out right?
- Are account balances and historical records mapped correctly?
- Which exceptions remain, and who approves their treatment?
- What has to be finished before the first charge runs through Bavardio?
We agree the validation scope and acceptance criteria with you.
Data and workflow scope
Decide what moves.
Accounts, contacts, service locations and the history your reps need to answer a call.
Plans, invoices, balances and whatever else the billing workflow depends on.
Open tickets, work orders, assignments and the history behind them.
Sites, devices and which subscribers sit behind which equipment.
Who does what, who can see what, and the steps people follow every day.
What the source system can export, and what the integrations need, sets the final scope.
Your connected environment
Plan around the systems you keep.
List the connections you want to keep and the workflows you want to move. We confirm what each connection does and which system owns what, during the move and after it.
Common questions
Answers before the call.
Do we need to replace all of our software?
No. You can start with one module or one workflow. A wider migration gets its own plan and its own validation.
Can you migrate our complete history?
It depends on what the source system can export, by file or API, and which records you need. We settle how much history comes over during mapping.
Can we validate billing before switching?
Yes. Both systems run side by side until the invoices match. Before that starts we agree which accounts to compare, how to compare them, how exceptions get reviewed and who approves the switch.
How long does a migration take?
It depends on how much is moving, how clean the data is, how many systems connect and how much time your team has for review and training. We build the schedule around those.
What happens if an issue appears during cutover?
The cutover plan names the escalation path, the recovery options and which system is in charge, before cutover day. The details depend on the workflow and how far along the move is.
